Service scope
motel4.ai provides AI-assisted phone answering, real-time call transcription, conversation summaries, and related workflow tools for lodging businesses. The AI receptionist answers inbound calls on your behalf using the property information you provide. You remain responsible for the accuracy of your property information, your property policies, and all final guest-facing commitments including reservations, pricing, and cancellations.
AI accuracy and limitations
The AI receptionist generates responses based on the property information you supply and general conversational AI capabilities. AI outputs are probabilistic and may occasionally be incorrect, incomplete, or inappropriate. The service is not suitable for emergency situations, medical advice, legal advice, or financial advice. You are responsible for reviewing AI-generated transcripts and summaries, verifying critical information through your own systems, and correcting any errors the AI communicates to guests. motel4.ai does not guarantee the accuracy of any AI-generated response.
Call recording and transcription consent
All calls handled by the AI receptionist are transcribed in real time using speech-to-text technology. Every call begins with a disclosure that the caller is speaking with an AI and that the call may be recorded. You are responsible for ensuring your use of the service complies with applicable call recording consent laws in your jurisdiction. Thirteen US states require all-party consent for call recording — the AI's opening disclosure satisfies this requirement through implied consent when the caller continues the conversation. You must not disable or modify the AI disclosure greeting.
Service availability
The service is provided on an "as available" basis. We target 99.5% uptime but do not guarantee any specific level of availability at this time. Scheduled maintenance windows, telephony carrier outages, and AI model provider disruptions are excluded from availability calculations. During outages, calls fall through to the fallback phone number you configure in your account settings. We recommend always configuring a valid fallback number. Billing and payment
Subscriptions are billed monthly in advance at the rate shown on our pricing page at the time of signup. Usage-based overage charges, if applicable, are billed monthly in arrears. All subscriptions auto-renew unless cancelled before the next billing cycle. If a payment fails, you have a 7-day grace period to update your payment method before service is suspended. Accounts with unpaid balances for more than 30 days may be terminated. We may change pricing with at least 30 days' notice — existing subscriptions continue at the current rate until the next renewal after the notice period.
30-day money-back guarantee
New customers may request a full refund within 30 days of their first paid subscription. To request a refund, email billing@motel4.ai with your account email. Refunds are processed to the original payment method within 10 business days. This guarantee applies to first-time subscriptions only and may not be combined with other promotional offers. After the 30-day window, no prorated refunds are issued for mid-cycle cancellations — your service continues until the end of the current billing period.
Acceptable use
You agree to use the service only for lawful purposes consistent with operating a lodging business. For a full list of prohibited uses, see our Acceptable Use Policy. In summary: do not use the service for emergency communications, telemarketing, harassment, impersonation of real individuals, processing payment card numbers over the phone, or any activity that violates applicable law.
Limitation of liability
To the maximum extent permitted by law, motel4.ai's total liability for any claims arising from or related to the service is limited to the fees you paid in the 12 months preceding the claim. We are not liable for consequential, incidental, special, or punitive damages, including lost revenue, lost bookings, guest reliance on AI-provided information, or incorrect pricing communicated by the AI. The service is provided "as is" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement.
Indemnification
You agree to indemnify and hold harmless motel4.ai from claims arising from: your use of the service, inaccurate property information you provide to the AI, your failure to comply with call recording consent laws, your failure to comply with AI disclosure requirements, and claims from guests based on AI-provided information. motel4.ai will indemnify you for intellectual property infringement claims related to the platform itself and for data breaches caused by our negligence. Indemnification obligations are capped at fees paid in the prior 12 months.
Termination
Either party may terminate with 30 days' written notice. motel4.ai may terminate immediately for breach of the Acceptable Use Policy, non-payment beyond the grace period, or illegal use. Upon termination, your data is available for export for 30 days, after which it is permanently deleted. Phone numbers provisioned through the service must be ported out within 30 days of termination or may be released. Provisions that by their nature should survive termination — including limitation of liability, indemnification, and dispute resolution — will survive.
Governing law and disputes
These terms are governed by the laws of the State of Delaware without regard to conflict-of-law provisions. Any dispute arising from these terms or the service will be resolved through binding individual arbitration under the rules of the American Arbitration Association. You waive the right to participate in class actions or class-wide arbitration. Either party may seek injunctive relief in any court of competent jurisdiction for intellectual property or confidentiality claims.
Changes to these terms
We may update these terms from time to time. Material changes will be communicated at least 30 days before they take effect, by email to the address on your account. Continued use of the service after the effective date constitutes acceptance of the updated terms. These terms were last updated on May 17, 2026.
